Use the open invitation
The open invitation allows you to generate a link that can be distributed to multiple participants so they can complete the assessment. It is the best choice if you do not know the participants’ email addresses, or you do not want to send personalized invitations.
To use the open invitation
- Click Invite in the left menu.
The Inviting Participants page appears.
- Click Open Invitation.
The Settings page appears.
- Select the language you want to generate the assessment in.
- Enter a name for your invitation into the Invitation Name text box. The name can reference a time period or the participants completing the assessment; e.g.., PSY355, Winter 2025
- Organize your Invitations into a folder. You can do this by either:
- Selecting an existing folder from the drop-down menu, or
- Creating a new folder by typing its name in the Folder Name text box and then clicking Save New Folder.
- To track assessment completion, enter Notification settings.
- To set the invitation to expire, enter Expiry settings.
- Click Next to proceed to the Select Generation page.
To enable auto-generation of the summary report
- Click Yes on the Select Generation page.
When the participant completes the assessment, they will be sent a link to download the Summary Report.
- Click Next to proceed to the Security Settings page.
If you select this option, an email containing a link to view the Summary Report will be sent to the participant as soon as they complete the assessment. At the same time, the Summary Report will become available for download on the My Reports page.
If you select Yes to auto-generation, 20 tokens will be deducted from your account every time the Summary Report is automatically generated for a participant. If you do not have enough tokens in your account to cover this generation, the participant will still be allowed to complete the assessment; however, you will need to manually generate the Summary Report from the Report page.
If you select No to auto-generation, you will skip the Security and Summary Report customization process and go directly to the review page. However, you can customize the Summary Report later on the Report page.
To use the security settings
If you have selected YES to automatic generation of the Summary Report, and you want to use the Open Invitation, you need to be aware of the following security risks:
- The open link you distribute might be used by uninvited participants to complete the assessment.
- When an uninvited participant completes the assessment, a report will be generated and tokens deducted from your account. There will be no refunds for tokens deducted for unwanted reports.
To help prevent unauthorized use of the open invitation, MHS strongly suggests that you complete both of the following security options.
OPTION 1: REPORT LIMIT
The report limit allows you to enter a numerical limit for the number of reports that can be generated from the link.
After this number is reached, participants will still be able to complete the assessment, but no further reports will be automatically generated. In this case, you will be notified via email that student assessments are waiting to be scored. You will then have the option of deactivating the link or continuing to allow students to complete the assessment via the link.
To set a report limit:
- Enter the limit number in the text box.
- Enter the contact name and email address of the individual to receive email notification that the limit has been reached.
OPTION 2: EMAIL DOMAIN
The email domain allows you to enter the domain most closely associated with your school or institution. If this domain isn’t entered by the participant at the start of the assessment, they will not be allowed to continue.
The domain name is everything that appears in an email address after the @ symbol. For example, in [email protected], the domain is university.edu.
To use the email domain:
- Enter the email domain into the text box.Ensure that the domain name you enter is correct. If you enter an incorrect domain, legitimate participants will be unable to complete the assessment.
- Click Next to proceed to the Report Template page
To create a summary report template and add resources
If you select Yes to auto-generation of the Summary Report, the next step is to create a report template and add resources.
Full instructions on this process can be found on the Summary Report help page and the Add resources help page.
When you create an open invitation, you can select to track assessment completion by having email notifications sent to you or somebody else. These notifications will be sent every time a participant completes an assessment through the generated link.
To track assessment completion:
- In the Notification section, type the Contact Name and Email of the person to receive email notifications about assessment completion in the text boxes.
- Select one or both of the following checkboxes:
- Send email notification when assessment is complete
- Send email notification once the link has expired
After you have generated an open invitation link, the link is displayed at the top of the Your Link page. Accessing this link allows the participants to complete the assessment online.
There are a number of ways to distribute this link:
- You can paste the link into an email and send it to the participants taking the assessment.
- If you want to include instructions with the link, copy and paste the recommended text at the bottom of the page into an email and send it to the participants. This text contains a clickable version of the link which allows the participants to complete the assessment online.
- If you do not know the email addresses of the participants, the link can be posted online at a site that participants have access to.
- Alternatively, the link can be printed out and manually distributed to participants.
