Choose an invitation method

Before you can generate an EQ-i 2.0 Higher Education report, you must invite participants to complete the EQ-i 2.0 assessment.

This invitation can be made in two different ways:

  • Personal Invitation

    This option sends each participant a unique link to complete the EQ-i 2.0 assessment. It’s the best choice if you know the names and email addresses of the participants, or you want to control who is able to complete the assessment.

  • Open Invitation

    This option creates a link to complete the EQ-i 2.0 assessment which can be distributed to multiple participants. It’s the best choice if you do not have the participants’ email addresses, or if you do not want to send personalized invitations. For more information, consult the Open Invitation help topic.

To use the personal invitation

Personal invitations send a unique link to each participant to complete the assessment online. To use the personal invitation:

  1. Click Invite in the left menu.

    The Inviting Participants page appears.

  2. Click Personal Invitation.

    The Organize participant page appears.

  3. Select the language you want to generate the invitation instructions and assessment in.
  4. Organize your participants into a folder. You can do this by either:
    • Selecting an existing folder from the drop-down menu, or
    • Creating a new folder by typing its name in the Folder Name text box and then clicking Save New Folder.
  5. Enter participants. You can either enter participants one-at-a-time, or upload them from a list.

To enter a few participants at a time

  1. On the Enter participant page, type your participant’s Email Address, First Name, Last Name, and Student ID in the indicated text boxes.

    Only an email address is required. If privacy is an issue, you do not have to enter a first or last name for the participant. In that case, you might consider entering a Student ID for identification purposes.

    However, if you use a Student ID and the participant’s first and last name, only the text entered in the ID text box will appear on the report.

  2. Click Add Participant.

    The participant details appear in the My Invitation List.

  3. Continue entering participants. When you are finished, click Next to proceed to the Create Email page.

To enter a large number of participants

  1. On the Enter participants page, click Download Template.
  2. Click OK in the dialog box.

    An Excel spreadsheet titled “Invitation Import Template” is saved to your computer.

  3. Open the spreadsheet and type the names and email addresses of the participants you’d like to invite to take the EQ-i 2.0 assessments into the indicated fields. You can also cut and paste the data from another file.

    Only an email address is required. If privacy is an issue, you do not have to enter a first or last name for the participant. In that case, you might consider entering a student number for identification purposes.

    However, if you use a Student ID and the participant’s first and last name, only the Student ID will appear on the report.

  4. When all the details have been entered, save the spreadsheet to your hard drive.
  5. On the Enter participants page, click Upload Participant List.
  6. In the Upload Participant dialog box, click Select.
  7. In the File Upload dialog box, find the completed spreadsheet file, and then click Open. The name of the spreadsheet appears in the import box.
  8. Click Upload File.

    The names and email addresses in the spreadsheet are added to the invitation list.

  9. Click Next to proceed to the Create Email page.

To customize the invitation template

You invite participants to complete the assessment by sending them an email. You are provided with two options to create this email: Using the default invitation, or creating your own template.

If you use the default invitation, participants will receive a standard e-mail that includes a link to take the assessment. This link is pre-programmed with the participants’ identifying information (e.g., name and e-mail address) as you entered it into the system, so they do not have to type it when they begin the assessment.

Variables in the invitation such as and should not be altered or filled in. They will automatically display the correct information when the participant opens the email.

To customize the invitation template:

  1. Select the Custom radio button.
  2. Select Create a New Template from the Template drop-down menu.
  3. Type an email subject line in the Subject text box, or use the subject line provided.
  4. Make your changes to the text.
  5. To see how the email will appear to the participant, click Preview Email.
  6. When you’ve finished your changes, click Save As New Template.

    The New Template dialog box appears.

  7. Enter a name for the new template.
  8. Click Save.

    Your new template will now be listed in the Template drop-down menu. To use this template again, select the Custom radio button, and then select the template name from the Template drop-down menu.

  9. Click Notification to track assessment completion.
  10. Click Link Expiry to set the invitation to expire.
  11. Click Next to proceed to the Select Generation page.

To auto-generate the summary report

The Summary Report can be automatically generated to provide both you and the participant with immediate feedback.

If you select this option, an email containing a link to view the Summary Report will be sent to the participant as soon as they complete the assessment. At the same time, the Summary Report will become available for download on the My Reports page.

To enable auto-generation:

  1. Click Yes on the Select Generation page.

    When the participant completes the assessment, they will be sent a link to download the Summary Report.

  2. Click Next to proceed to the Report Template page.

If you select Yes to auto-generation, 20 tokens will be deducted from your account every time the Summary Report is automatically generated for a participant. If you do not have enough tokens in your account to cover this generation, the participant will still be allowed to complete the assessment; however, they will not automatically receive a link to view the report. Instead, you will need to manually generate the Summary Report when you have replenished your token balance.

If you select No to auto-generation, you will skip the Summary Report customization process and proceed to the review page. However, you can customize the Summary Report later on the Report page.

To create a Summary Report template and add resources

If you select Yes to auto-generation of the Summary Report, the next step is to create a report template and add resources.

When adding a participant to the invitation list, it is up to you if you want to include the Student ID number. In general, there are two reasons why the Student ID might be used:

  • Use a number instead of a name to make the participant truly anonymous. Although the responses entered in the assessment are private, some participants might not want their name listed on the report. In this case, a number would be used to protect privacy.
  • Use a number if it is part of the participant’s standard identification or is school policy.

The number you enter can be the Student ID number, or it can be another number of your choosing. Alternatively, you can leave the box blank and ask your participants to enter their own Student ID number when they begin the assessment.

Remember, the Student ID is optional. If you use one, the number and format will be of your own choosing. The number will not be generated by the Talent Assessment portal.

If you use the Student ID and the participant’s first and last name, only the Student ID will appear on the report.
