Generate reports
Results for a multi-rater assessment are generated by combining rater results and comparing them to the participant’s self-ratings.
Depending on the assessment, you will be able to generate one or more of the following report types:
- Workplace Report
- Leadership Report
- Individual Report
- Group Report
Note that the following steps are for the Workplace, Leadership, and Individual Reports. If you want information on generating a Group Report, please check the Group Report topics on the TAP help page.
To generate a report
- Click Report in the left menu.
The Select a Report Type page appears.
- Click the icon. For the report type you want to generate.
The Select Participants page appears.
- On the Select a Participant page, click the checkbox beside the participant you want to generate a report for. (Reports can be generated for only one participant at a time due to the variable selection of raters.)
- Click Next to proceed to the Select Raters page.
To select raters
Once you have selected a participant, you need to select the raters to include in the report.
Most multi-rater assessments require at least one valid rater group to generate a report. A valid rater group can be either
- One Manager/Boss,
- A group of three or more raters with the same Rater Relationship (e.g., Peer or Direct Report), or
- A group of three or more raters reassigned to the “Other” group for one-time scoring purposes.
Only raters who have completed the assessment are eligible for inclusion in the report.
To select the raters:
- On the Select raters page, click the check box to the left of the raters you want to include.
- Click Next to proceed to the Select template page.
To customize the report template
- On the Select template page, select Create a New Template from the Template drop-down menu.
- Enter a name for your new template in the Template Name text box.
- If desired, enter a short description of your template in the Template Description text box.
- If applicable, select a Norm Region from the Norm Region drop-down menu.
- If applicable, select a Norm Type from the Norm Type drop-down menu.
- Select a Language for the report. The default will be the preferred language selected by the participant during the assessment, but you can override this setting. (Note: Depending on the assessment, you might have to select a language for both the Coach and Client report).
- To add a report title (such as your company name), enter the title in the Report Title text box.
The participant name and date are automatically shown on the cover. You don’t need to enter them into the text box.
- To insert your company logo on the cover page:
- Click Browse. The File Upload window opens.
- Find the image file on your computer, then click Open. The name of the image file appears in the import field.
- Click Upload Selected Logo.
- If you change your mind about including the logo, click Remove Logo.
- If applicable, decide which report options you wish to include in the new template. Click On to display an option, or Off to not display an option
- Click Save Changes when you have finished your modifications.
Your new template name now displays as on option in the Template drop-down list. To re-use the template at a later date, simply select it from the list.
To view a completed report
- Click the My Reports tab.
The My Reports page appears.
- Click the link beside the report you want to view.
Depending on your browser, the report will either be saved to your computer, or you will be given the option to view the report immediately.
Email reports
If you want to email the report to participants, the easiest option is to use the Email Reports feature.
To email reports
- On the Report page, click the My Reports tab.
The My Reports page appears.
- Select the checkboxes to the left of the Reports you want to email to participants.
Note that only reports with a status of Completed can be emailed. If any reports are listed as Archived, they must first be regenerated before they can be sent.
- Click Email Reports.
A pop-up message confirms that the emails were sent out.
The participants will each receive an email with a customized link. Clicking this link opens a web page where they can download their report. Note that in assessments where there is both a client and a coach report, only the client report is emailed, not the coach’s report.
Regenerate reports
Five days after you generate a report, the links are removed from the My Reports page and the status of the report changes from Completed to Archived. To view the report after that time, you must regenerate the report.
There is no charge for regenerating a report and you can regenerate it as many times as you need.
To regenerate a report
- Click the My Reports tab.
The My Reports page appears. Reports that need to be regenerated will have a status of Archived.
- Select the checkboxes to the left of the reports that you want to regenerate.
- Click Regenerate.
A new listing for the report appears at the top of the My Reports table, along with links to download the Client and Coach’s Section.
Zip reports
If you want to download multiple reports at once, the easiest option is to place the required files into a zipped folder.
To zip multiple reports
- On the Report page, click the My Reports tab.
- The My Reports page appears.
- Select the checkboxes to the left of the participants whose reports you want to download.
Note that only participants with a status of Completed can be included in a zipped folder. If any participants are listed as Archived, they must first be regenerated before they can be zipped.
- Click Zip Reports.
The Zip File Name window appears.
- Type a name for the zipped file in the Zip File Name text box.
- Click Create.
A new listing for the zipped file appears at the top of the My Reports table, along with a download link. If the zipped file and link do not automatically appear, click Refresh or set the Auto Refresh drop-down to ON.
If you are zipping the reports for more than 200 participants, the system will create a separate .zip file for each batch of 200 participants. (The participants will be zipped in the same order that they are displayed on the My Reports page.) To acquire the full set of selected reports, download the separate .zip files to your computer. - Click the Zip File link you want to view.
The zipped file is saved to your computer.
- Open the zipped folder to view the reports contained inside.
You can reassign raters to any other relationship category to ensure there are at least three raters in each rater group. However, it is recommended that if you must reassign raters, that you move them into the “Other” category to preserve rater anonymity.
For example, let’s say that only four raters completed Mary’s multi-rater assessment: one was her manager/boss, two were her direct reports, and one was a peer. There are not enough raters in her direct report and peer groups to protect rater anonymity, so these raters can be moved to the “Other” category. The resulting report will show Mary’s manager/boss as one group, and the remaining respondents aggregated as a second group.
- Locate the rater’s listing on the raters page.
- Click the rater’s name.
The Rater’s tab opens, with all of the raters for the participant displayed.
- Click the name of the rater you want to modify.
The details for that rater are displayed.
- To change the rater’s relationship to the participant, select a different rater type from the relationship drop-down menu.
- Click Save to save changes to the rater.
The Edit Rater screen closes.
- Click Save Changes to finalize your changes.
