How to use the invitation email template
You invite participants to complete the assessment by sending them an email. You can create this email by either using the default invitation or by creating your own template.
In both cases, participants will receive an e-mail that includes a link to take the assessment.
To use the default invitation
- Select the Default radio button.
- To track assessment completion, enter a contact name and email address and select Send email notification when an assessment has been completed.
- To set the invitation to expire, select Expire this link on and enter a date.
To create your own invitation template
- Select the Custom radio button.
- Select Create a New Template from the Template drop-down menu.
- Type an email subject line in the Subject text box, or use the subject line provided.
- Make your changes to the text.
Do not alter any of the variables (the text within brackets). If you do, participants might not receive a link to take the assessment.
- To see how the email will appear to the participant, click Preview Email.
- To track assessment completion, enter a contact name and email address and select Send email notification when an assessment has been completed.
- To set the invitation to expire, select Expire this link on and enter a date.
- Click Save As New Template.
The Template Information dialog box appears.
- Enter a name for the new template.
- Click Save.
Your new template will now be listed in the Template drop-down menu. To use this template again, select the Custom radio button, and then select the template name from the Template drop-down menu.
If you are no longer using a customized invitation, you can delete it from the template drop-down list by following these steps:
- On the Create Email page, select the Custom radio button.
- Select the invitation you want to delete from the Template drop-down list.
The Delete Template button appears at the bottom of the page.
- Click Delete Template.
A message appears asking for confirmation of the deletion.
- Click Yes.
The invitation template is now deleted from the drop-down list.
