Manage participants
The Manage page allows you to check on the completion of a multi-rater assessment. It also allows you to change participant information, generate reports, and send email reminders to complete the assessment.
To access your participant records
- Select Manage from the menu on the left.
- The Assessments tab opens with a list of the participants invited to complete the assessment.
- To view or edit participant details, click the participant’s name in the left-hand column.
- To perform an action (e.g., sending reminders), select a command from the I would like to… drop-down menu.
- To view and edit the raters, click the Raters tab.
- To view and edit your open invitations, click the Open Invitations tab.
To edit a participant’s details
- Locate the participant’s listing on the Assessments page.
- Click the participant’s name.
The Participant Details page appears.
- Edit the participant’s name, email address, age, and gender, by entering data in the appropriate text box.
- Move the participant’s record to another folder by selecting a different folder from the drop-down menu.
- Delete the participant’s assessment by clicking Delete Participant.
- To see when a reminder to complete the assessment was last sent to the participant, look at the date beside Last Reminder. If no date is displayed, that means that no reminder was ever sent.
- If you make any changes, click Save Changes to return to the Assessments Page.
To delete a participant
- Click the Assessments tab.
- Select the check box to the left of the participants that you want to delete.
- Select Delete Selected Participants from the I would like to… drop-down menu.
A message appears asking for confirmation of the deletion.
- Click Yes.
The participant is now deleted from your records.
To add a rater to a participant
- Display the participant’s listing on any Participants page.
- Click the participant’s name.
The Participant Details page appears.
- Click the Raters tab.
The raters for that participant are displayed.
- Select Add New Rater from the I would like to drop-down menu.
The Add a new rater pop-up appears.
- Enter the new rater’s Name and Email Address.
- Select a rater type from the Relationship drop-down list.
- Click Add to add the rater to the Saved Raters list.
- If you want to add additional raters for that participant, repeat steps 4-7.
- Click Save Changes to send an Invitation Email to the new raters.
To export participants to a spreadsheet
- Click the Assessments tab.
- Select the check box to the left of the participants that you want to export.
- Select Export Selected Participants from the I would like to… drop-down menu.
An Excel spreadsheet is automatically downloaded to your computer. This spreadsheet has columns for the participant’s first and last name, Email address, status, created and completed date, the folder they were assigned to, the invitation link, total number of raters, and number of raters who have completed the assessment.
Please note that the Excel file is in a comma-delimited (.csv) format. When you first open the file, we recommend that you click File > Save As and save the file as an Excel Workbook (.xlsx).
Manage raters
The Manage tab allows you to check whether or not the invited raters have completed the assessment. It also allows you to modify rater information and nominate additional raters.
To access your rater records
- Select Manage from the menu on the left.
The Manage page opens.
- Click the Raters tab at the top of the table.
A table appears with a list of invited raters and participants. The names are paired together, with the rater’s name on the left and the participant’s name on the right.
- To view or edit rater details, click the rater name.
- To perform an action (e.g., sending reminders), select a command from the I would like to… drop-down menu.
To edit rater details
- Locate the rater’s listing on the raters page.
- Click the rater’s name.
The Participant Details page appears.
- Click the Raters tab.
All of the raters for that participant are displayed.
- To delete a rater, add a new rater, or send a reminder to a rater, select the action from the I would like to dropdown menu.
- To see when a reminder to complete the assessment was last sent to the rater, look at the date in the Last reminder column. If no date is displayed, that means that no reminder was ever sent.
- If you want to edit the details of a rater, click the rater’s name.
The details for that rater are displayed.
- Edit the rater’s name and email address by entering data in the appropriate text box.
- To change the rater’s relationship to the participant, select a different rater type from the relationship drop-down menu.
- Click Save to save changes to the rater.
The Edit Rater screen closes.
- Click Save Changes to finalize your changes.
To delete a rater
- Click the Raters tab.
- Click the check box to the left of the raters you want to delete.
- Select Delete Selected Raters from the I would like to drop-down menu.
A dialog box appears asking you to confirm the deletion.
- Click Yes.
The rater is now deleted from your records.
To change a rater’s category
- Locate the rater’s listing on the raters page.
- Click the rater’s name.
The Rater’s tab opens, with all of the raters for the participant displayed.
- Click the name of the rater you want to modify.
The details for that rater are displayed.
- To change the rater’s relationship to the participant, select a different rater type from the relationship drop-down menu.
- Click Save to save changes to the rater.
The Edit Rater screen closes.
- Click Save Changes to finalize your changes.
The spreadsheet is in a comma-delimited (.csv) format. When you first open the file, we recommend that you click File > Save As and save the file as an Excel Workbook (.xlsx).
