How to manage participants

The Manage page allows you to check on the completion of an assessment. It also allows you to edit participant information, generate reports, and send email reminders to complete the assessment.

To manage participant records

  1. Select Manage from the menu on the left.
  2. The Assessments tab opens with a list of the participants invited to complete the assessment.
    • To determine if a participant has completed the assessment, look in the Status column.
    • To view or edit participant details, click the participant’s name in the left column.
    • To perform an action (e.g., sending reminders), select a command from the I would like to… drop-down menu.

To edit a participant’s details

  1. Locate the participant’s listing on the Assessments page.
  2. Click the participant’s name

    The Participant Details page appears.

  3. Edit the participant’s name, email address, ID, age, and gender, by entering data in the appropriate text box.
  4. Move the participant’s record to another folder by selecting a different folder from the drop-down menu.
  5. Delete the participant’s assessment by clicking Delete Participant.
  6. To see when a reminder to complete the assessment was last sent to the participant, look at the date under Last Reminder. If no date is displayed, that means that no reminder was ever sent.
  7. If you make any changes, click Save Changes to return to the Assessments Page.

To delete a participant

  1. Click the Assessments tab.
  2. Select the check box to the left of the participants that you want to delete.
  3. Select Delete Selected Participants from the I would like to… drop-down menu.

    A message appears asking for confirmation of the deletion.

  4. Click Yes.

    The participant is now deleted from your records.

Deleting a participant removes their assessment and all personal data from the portal. Once deleted, you will no longer be able to generate a report for them.

Status definitions

  • Scored means that the participant has completed the assessment, and a report has been generated by an administrator.
  • Completed means that the participant has completed the assessment, but a report has not been generated by an administrator.
  • Pending means that the participant has not completed the assessment.
  • Expired means that the participant has not completed the assessment and the expiry date on the invitation link has passed.

Most assessments are centered on a participant. However, it is only the multi-rater assessments, such as the EQ 360, ELP, and DLP, that involve raters. To view the status of a rater, you will need to go to the multi-rater product and access the Manage Raters page.
